Copyright Review Procedures
Copyright review procedures for course materials
The Copyright Office will review and provide copyright clearance for your materials – a process that is usually completed within a few days. Submit your materials using one of the following options.
1. Use the Reading List Service opens a new window
The Reading List Tool, which is integrated into D2L, streamlines the process by automatically submitting materials to the Copyright Office for review. This option is available under the “Tools” tab in D2L. Or we would be happy to create the list for you to get you started with this new process. Please request list creation by submitting your course readings to readinglist@ucalgary.ca. If the Copyright Office has cleared your materials in the past, you can send them your course information and they will work from their records. 2.Send your course materials to copyright@ucalgary.ca
3.Contact copyright@ucalgary.ca for assistance if the materials have already been posted to D2L.
Materials must be reviewed each semester they are used. Permissions need to be renewed and licensing agreements and links may have changed in the interim. Do not assume that previously used materials are still cleared for use.
If you have previously submitted materials to the Copyright Office, you only need to inform the Copyright Office that you are doing so. The Copyright Office has maintained a record of all materials cleared since Fall 2012.
Reading List Tool (Leganto):
The Reading List Tool (Leganto) offers a number of benefits for instructors and students. For example:
Instructors can:
- provide students with a comprehensive list and access to course materials, including electronic and physical library materials (journal articles, book chapters, streaming video), web content, instructor created files, etc.
- submit digitization and acquisition requests
- be confident that the materials are copyright compliant and any required permissions will be obtained prior to resources being made available to students
- review how students are engaging with the reading list materials, including how many students are reviewing and reading each resource.
Students can:
- access their readings via the Reading List Tool (Leganto) in their D2L course shell
- interact directly with the materials, such as annotating posted PDFs and liking and commenting on individual readings
It is also very easy to duplicate lists and use them for subsequent course offerings. The list will automatically be resent to the Copyright Office for review each time it is used for a new course or if it is updated or edited.
